Bookings Terms

Effective date: October 1, 2026

These terms cover your use of Bookings, the optional booking service in BusyCal for Mac. They are an agreement between you and Beehive Innovations FZE, the company that makes BusyCal ("we" or "us"). You accept them in BusyCal when you turn Bookings on. Our End-User License Agreement continues to cover BusyCal itself, and the Bookings Privacy Notice explains what the service stores and why.

The Service

Bookings lets you publish booking pages at busybook.me/<handle>/<page>. A visitor (the "invitee") picks a time on your page and fills in a short form. The service emails the invitee and any guests the invitee adds a confirmation, and emails you a notification. BusyCal adds the booking to the calendar you chose and, when that calendar's account has an email address BusyCal can use for you as the organizer, makes it a meeting you organize, with the invitee and guests as attendees, so your calendar account can send them its own invitation too. The service's confirmation includes a calendar invitation, except for a booking made on a Microsoft 365 calendar whose organizer address BusyCal had already sent to the service; for that booking, only your calendar sends an invitation. The service keeps a booking only until BusyCal has added it to your calendar. From then on, the meeting is an event in your calendar, and your calendar account handles any later invitations and changes. So that your pages offer only free times, BusyCal sends the service the time ranges when you are busy, as start and end times only.

Bookings is not designed for protected health information, and we do not offer a HIPAA business associate agreement.

Who May Use Bookings

Bookings is included with BusyCal for Mac. You may use it while your copy of BusyCal entitles you to it, once you have accepted these terms. BusyCal on your iPhone and iPad takes part in Bookings while your copy of BusyCal for Mac entitles you to it. You must be able to enter into a binding agreement where you live. If you use Bookings for an organization, you confirm that you may accept these terms on its behalf.

Your Account

You sign in to Bookings with your email address and a one-time code. Keep that email account secure, because anyone who can read its mail can sign in to your Bookings account. You are responsible for what is done through your account and for the content of your booking pages. Your handle and display name are public, because they appear on your pages.

Your Responsibilities Toward Invitees

You decide what your booking pages ask for and what you do with the answers. For the details invitees enter, you are the controller and we are your processor, as described in the data processing terms. You agree to:

  • Ask only for the details you need, and have a lawful reason to collect them.
  • Tell invitees how you use their details, where the law requires it.
  • Answer requests from invitees, and from any guests they add, about their details, using the deletion tools in your Bookings dashboard where needed.
  • Never ask for passwords, payment card numbers, or government identity numbers on your booking pages.
  • Never collect protected health information through your booking pages. Bookings is not designed for it, and we do not offer a HIPAA business associate agreement.
  • Protect the invitee details you receive outside Bookings, such as in your email or your calendar.

Acceptable Use

Do not use Bookings to:

  • Send spam, or enter other people's details so that they receive email they did not ask for.
  • Break the law or help anyone else break it.
  • Impersonate a person or organization, or mislead invitees about who you are.
  • Publish pages that are deceptive or harassing, or that try to collect passwords or payment details.
  • Probe, overload, or disrupt the service, or get around its limits.
  • Reach accounts or data that are not yours.

Availability

We work to keep Bookings running, but we do not guarantee that it will always be available or free of errors, and we may change its features over time. Bookings is provided "as is". The disclaimers and limitations on liability in our End-User License Agreement apply to Bookings as they do to BusyCal.

Suspension

We may suspend or remove a booking page or an account that breaks these terms, harms invitees or other people, or puts the service at risk. When we can, we tell you by email and explain why. If you think we made a mistake, contact us at support@busymac.com.

Ending Bookings

You can stop using Bookings at any time by signing out of Bookings in BusyCal on a Mac. Your iPhone, iPad, and other Macs that use the same iCloud account then sign out too. Signing out removes the sign-in and device details of each device that signs out, at once. The busy times your devices shared stay until a device shares those calendars again, until you remove them in your Bookings dashboard, or until you delete your Bookings account. Your account and pages stay until you delete your Bookings account: in your Bookings dashboard, choose Settings > Privacy and data and click Delete Account…. Your pages offer times only while one of your devices has shared your busy times within the last 7 days and no calendar's busy times are older than 7 days.

If your copy of BusyCal is no longer entitled to Bookings, your pages stop accepting bookings, and BusyCal on iPhone and iPad stops offering Bookings. Your existing bookings and data stay, and you can continue by renewing or subscribing.

Deleting your Bookings account ends your access at once. If upcoming bookings that BusyCal has not added to your calendar, or requests, remain, their invitees first get the usual cancellation or decline email, and everything we store for your account is removed from the live service once those emails are sent; otherwise it is removed at once, as the Bookings Privacy Notice describes. Meetings already in your calendar stay there. The data processing terms continue to apply to any invitee data we hold until it is deleted.

Changes to These Terms

We may update these terms. When we make a significant change, we update this page and its effective date and, where appropriate, tell you in BusyCal or by email before the change takes effect. If you keep using Bookings after that, the updated terms apply. If you do not accept them, delete your Bookings account in your Bookings dashboard.

Data Processing Terms

This section covers the personal data in your bookings that we process for you: the details invitees enter, including the addresses of any guests they add ("invitee data"). For invitee data, you are the controller and we are the processor. For your own account data, we are the controller, as the Bookings Privacy Notice explains.

Your Instructions

We process invitee data only to provide Bookings to you, and only on your instructions. Your instructions are these terms and what you set up and do in BusyCal and your Bookings dashboard, such as your booking pages and your deletions.

Instructions We Cannot Follow

If we believe an instruction breaks data protection law, we tell you before acting on it.

Confidentiality

We keep invitee data confidential. Only the people who run the service can reach it, only when running the service requires it, and they are bound to keep it confidential.

Security

We protect invitee data with the measures listed in the Bookings Privacy Notice:

  • Booking pages are always served over encrypted connections (TLS).
  • Emails are delivered over an encrypted connection whenever the receiving mail server supports it, which nearly all do.
  • The database is encrypted at rest.
  • Invitee details are stored in an encrypted form, with the key held outside the database.
  • Sign-in tokens are stored as hashes.
  • No staff interface browses bookings.

If Something Goes Wrong

If we learn of a security breach that affects invitee data, we tell you without undue delay and share what we know, so you can meet your own obligations.

Subprocessors

You allow us to use the subprocessors listed in the Bookings Privacy Notice: Amazon Web Services for hosting, database, and email sending in the United States, and Apple for push notifications. Invitee data is therefore transferred to the United States and stored there. We announce any change to the list on the privacy notice. If you do not agree with a change, you can stop using Bookings and delete your Bookings account.

Requests From Invitees

Invitees, and any guests they add, are asked to contact you first about their data. If an invitee or a guest sends the request to us instead, we forward it to you, and we delete invitee data when you tell us to. Your Bookings dashboard lets you delete the invitee details of a booking or request that we still hold. To delete everything we still store for one email address, use Erase an Email Address… under Settings > Privacy and data in your Bookings dashboard. Meetings already in your calendar are outside the service; you change or delete them in your calendar.

Help With Assessments and Authorities

We give you reasonable help with data protection impact assessments and with inquiries from a data protection authority, using the information in the Bookings Privacy Notice and these terms.

Deletion

We hold invitee data only until BusyCal has added the booking to your calendar, or until a request has ended and its last email has been sent, as the Bookings Privacy Notice describes. We delete it sooner when you delete it in your Bookings dashboard or when your account ends.

Information About These Measures

If you need more information about how we meet these commitments, contact us at support@busymac.com and we will provide it.
