Locations and Video Calls

Choose how you'll meet in the booking page's Location section. You can offer up to 10 locations, such as a video call, phone call or office address. If you offer more than one, invitees choose when they book.

Adding a Location

  1. In your dashboard, open the booking page's editor and go to Location.
  2. Under Add a location, click Video Call, Web Link, Phone Call or In Person.
  3. In Name people see, enter a name for the location, such as "Zoom call" or "Our office".
  4. Fill in the location's details, described below.
  5. Click Save.

To change the order of the locations, use their arrow buttons. To remove a location, use its trash button.

Location details appear at different stages:

  • Your profile shows only the location type, such as Phone call or In person.
  • While choosing a time, visitors see the names of video calls and web links. Phone and in-person options show only their type.
  • The booking form shows the name of every location.
  • The link, phone number or address appears in the confirmation and the emails only after the booking is confirmed. For a request, it appears after you approve it.

Keep private addresses and phone numbers out of Name people see, since that name is visible before booking.

Location Options

  • Video Call: Each booking gets its own call, which BusyCal creates for you. Choose the service in Video service. See Video Calls.
  • Web Link: Use the same link for every booking, such as a personal meeting room. Enter an https:// address in Link.
  • Phone Call: A phone number that people get after their booking is confirmed. Enter it in Phone number. To call people yourself instead, ask for their number with Phone number under Questions.
  • In Person: Enter the meeting address in Address. Consider turning on Show times only in this time zone under Basics so visitors see times in the meeting's local time zone.

The location also appears in the event that BusyCal adds to your calendar.

Video Calls

Choose Video Call to have BusyCal create a separate call for each booking. Video service lists the services available for the page's calendar, with the account used to create the call shown below.

The account used depends on the service:

Zoom and Webex

Zoom and Webex calls come from the Zoom or Webex account that you linked in BusyCal. While the booking page has no calendar, you can choose only Zoom or Webex. To link a Zoom account, see Adding Your Zoom Account.

Google Meet

Google Meet calls come from the Google account of the booking page's calendar.

Microsoft Teams and Skype

Microsoft Teams and Skype calls come from the Microsoft account of the booking page's calendar.

If no service is available, connect Zoom or Webex in BusyCal, or choose a destination calendar that supports video calls. See Meeting Accounts.

  1. The invitee receives a booking confirmation. If the call link isn't ready, the email says it will follow.
  2. BusyCal adds the booking to your calendar, then creates the call.
  3. The invitee and their guests receive an updated invitation with the link.

BusyCal creates the call on the device that adds the booking to your calendar, with the meeting accounts on that device.

The booking stays in your dashboard while BusyCal prepares the call link. If the call can't be created, you can add a link yourself. See Adding a Call Link Yourself.

Zoom on more than one device

A Zoom account can be authorized in BusyCal on only one device at a time. Authorizing it on another device revokes the first device's access, so that device will ask you to reconnect Zoom.

For Bookings on multiple devices, a service tied to your calendar account, such as Google Meet or Microsoft Teams, avoids this limitation. If you use Zoom, connect it on one device, such as a Mac where you leave BusyCal running. See Using BusyCal with Zoom and Zoom account keeps requesting to be reauthorized.

Add a call link yourself if BusyCal couldn't create one, or replace the web link for a single booking:

  1. In your dashboard, open the booking from Bookings.
  2. Click Add Call Link…, or Change Call Link… if the booking already has one.
  3. Enter the link. It must start with https://.
  4. Click Add Call Link or Save Call Link.

The invitee receives an updated invitation, and BusyCal updates the event's location with the new link. Other bookings and the booking page's default link are unchanged.

This option is available for confirmed video-call or web-link bookings that are still in the dashboard and haven't started. Once a booking leaves the dashboard, edit the meeting's location in your calendar instead.

When a Service Is No Longer Available

If a video service becomes unavailable, for example after you remove its account, a warning appears on the page's card in Booking pages. Edit the page to choose another service or remove that location. A page can't accept new bookings if none of its locations is available.
